Get The Most Out of your Exhibition! – The Quantum Team know Exhibitions, and often clients ask us « How can we get the Most out of our Exhibitions », so we thought that we would create a selection of news articles to help our existing clients and new prospective first time exhibitors.

The Exhibition Team

Firstly Create a ‘Exhibition team’ from your staff that have  the perfect attributes – knowledge, of both product and exhibitions, experience at trade show like events, and a passion for networking and getting the most out of what should be a great few days increasing contacts and hopefully sales too.
Out of your newly established team whether it Consists of three or 43 choose a team leader, who can take further responsibility and help organize and make sure everything runs smoothly.

Now your team is established with your excellent team leader, allow time for training before – go over key messages, practice pitches in the board room. Go through the protocols of what to do on the day, and how to deal and decipher between those clients that are serious about working with you and also the time wasters and how to at all times maintain a professional, happy exciting atmosphere on your stand. – It’s your time to exude all the wonderful things that happen in your company and remember everyone talks and everyone sees.

Go over product information and also create checklists to make sure everything runs smoothly.

 

  • Companies message
  • Aims of this exhibition – product or ethos – both?
  • Check and organize conferences, involve yourself in all things that are happening at the exhibition to further your presence and marketing.
  • Advertise before on website – tell clients your there – come see us!
  • Organize meetings before hand schedule them in to make the most out of your time and money.
  • Make sure your ‘team’ have roles and responsibility – stagger your breaks, seems simple but never leave your stand unattended.
  • Reiterate your marketing objectives and PR.

Annoying things to remember.

  • The venue of the exhibition, how to get there, how your team get there
  • Your stand number, easiest way to where you all check your hall number – find an easy route to it, keep in touch with contractors – check it at each step.
  • Collate a team list with mobile numbers particularly if your exhibiting internationally, you don’t want your youngest member lost in the depths of Shanghai.
  • Make sure all AV and the likes of Wi-Fi codes, door codes, IPad codes are all collated.
  • Exhibitor badges and where the exhibition organizers are, and who they are – they can make or break your experience, keep in contact with them, let yourself be known – they want you there and you want to be there – create a bond with them, you will be able to establish a relationship that will be mutually beneficial.

How to get the most from your team

  • Exhibitions can be a very exciting and simultaneously exhausting experience. Allow your staff time to know where they are, keep them rested and comfortable and when you can keep them within a reasonable distance to the venue a 2 hour commute on top of a full day of smiles and standing is only going to increase the already long days.
  • Makes sure the Dress code is appropriate depending on what your company does of course- but maintain a sense of unity and if it is business attire make sure ties are done up, shirts in, clean shaven, they all seem simple, but if your ‘team’ are exhausted from a long flight and bedraggled on the stand – it only creates an air of disorganization, counter effective to all your hard work.
  • Wear comfy shoes – again seems simple but your team will be on their feet all day.
  • Don’t drop the ball – don’t sit down and ‘check your emails’ or  have a cuppa  – don’t wait for people – bring them to your stand, speak to people, tell them about your product.
  • If you have no energy or ‘oomph’ – prospective clients will have no energy to hear about your product or ‘oomph’ to buy it!

Finally Organisation, is key, plan and get everything cleary organized and established! Exhibitions are incredibly effective for companies to network and a thousand benefits come with exhibiting, but like anything if it is not thought through or utilized in a disorganized way, your experience will be tainted and so will your bank balance.
